General remarks on the processing of personal data

In principle, we exclusively process personal data which you have entered yourself whilst registering and/or using our services. We use this data to deliver service(s) you requested to us, how you utilize our services, improve them as well as to fulfil legal obligations.

The personal data we have about you will never be sold or passed onto third parties and will only be used for internal purposes.

The only exception we have is when laws, courts or authorities require us to share personal data. In such a case we will inform you as soon as possible about the sharing of your personal information as well as which data we had to share and we will always disclose the least amount of personal data legally possible.

We collect the personal data you have shared with us related to your request, amongst:

• Invoicing information

We also take benefit of anonymized data for statistics.

We do not process any sensitive personal data as per Article 9 of GDPR.

When we think it might be valuable for you to be contacted (e.g.: newsletter). We add a purpose based on our legitimate interest to re-use your data for that specific communication. You can always opt-out of our Newsletter by unsubscribing from it clicking on the unsubscribe link present in all our Newsletter.

How will we process your data?

We collect your data so that we can:

Legal grounds for the processing of personal data

2Grips only use your data under the following condition:

• We have a contract with you.
• We have the legal obligation to do so.
• We determine its from our legitimate interest.

Data retention and deletion

2grips B.V. had determined by default a data retention policy of maximum 2 years after data not being used. In certain circumstance, we are obliged to keep your data longer but we will limit the retention time to legal delay or the required time to protect our own interest.

Your data stored on our back-ups will be deleted 90 days after deletion from live system.

Your rights

The legal framework regulating our services grant you a variety of different entitlements you have over your personal data. The following list gives you guidance on these rights. Right to access

You have the right to access any personal data we process in relation to you. If you would like a copy of this data, please let us know and we will send it to you.

Right to be forgotten

Where your personal data are no longer necessary for the purposes of this privacy statement, you have the right to request the erasure of that data. In certain circumstances, we are required by law to retain certain personal data in which case we cannot fulfil this request.

Right to rectification

If you have any issues such as data containing wrong or inaccurate information about you, you can update it anytime by just letting us now via the contact details described at the end of the Privacy statement.

Right to Restriction of Processing

In some cases, you have the right to restrict the processing of your personal data. This means that the personal data may only be stored by us and processed by us only for limited purposes.

Right to data portability

Upon request, we will send you a copy of your personal data, we have stored about you in a file format which should be readable on almost any device.

In cases where we did not need your consent for processing your personal data, such as on the grounds of legitimate interests or the performance of a task in the interest/exercise of an official authority, you can claim that your interests override ours. If we cannot prove that our interests outweigh yours, we must then stop processing your personal data.

2Grips B.V. does not take any automated decision.

In the event that you are of the opinion that we are not in compliance with the relevant data protection laws and you do not reach a solution with us, you are always entitled to file a complaint with the Belgian Data Protection Authority.

In addition to the hosting partners above we collaborate with a few more service providers to provide you with the best-possible experience when using 2Grips B.V. services.

While we make sure to anonymize usage data before sharing it with 3rd parties wherever possible, we still want to let you know which 3rd party-providers type we cooperate with and why.

2Grips respects your “Right to image”. As such 2Grips will not publish photos of you on social networks if you are not aware of such publication.
